Book a flight

Request a flight as a student, or place a flight on the calendar as school staff.

For: Student Pilot, Private Pilot, Commercial Pilot, Flight Instructor, Chief Instructor, School Admin, School Owner, Scheduler, Dispatcher · Updated November 6, 2026

What you see on Schedule depends on your role. Students ask for a flight and an instructor confirms it. Staff who can place flights directly create them on the calendar.

Request a flight as a student

  1. Open Schedule in the sidebar.
  2. Open the Find Availability tab.
  3. Pick an Instructor and Aircraft (or leave them on any), set the Date Range and Duration, and choose Search Availability.
  4. Under Available Windows, choose Request next to a time that suits you. The Request a Flight form opens with that time filled in.
  5. To ask for a time that isn't listed, choose Request Custom Time instead.
  6. Check Preferred Date, Start Time and End Time. You can also fill in Preferred Instructor (Optional), Preferred Aircraft (Optional), Lesson Type (Optional), and add Notes. Only the date and times are required.
  7. Choose Submit Request.

You can also start a request from the Calendar View tab: click a day, then choose Request flight. If the day shows an open slot, choose Book to take it.

Follow your request

Open the My Requests tab. A request starts as PENDING, which means it is waiting for an instructor. The status guide on that tab explains the others:

  • ALTERNATIVE: your instructor suggested a new time. It appears under Alternative Times Suggested, where you choose Accept or Decline.
  • ACCEPTED: your instructor approved it.
  • APPROVED: the flight slot is created and the flight appears on My Schedule.

To withdraw a request, open the actions menu on its row under Pending Requests and choose Cancel request.

Cancel a booked flight

  1. Open the My Schedule tab.
  2. Under Upcoming Lessons, choose Cancel Flight under the flight. This is only offered for flights that haven't started.
  3. In the window that opens, add a Reason (optional) and choose Cancel Flight. To change your mind, choose Keep Flight.

The window also tells you how many hours before departure you need to cancel to avoid a late-cancellation charge.

Create a flight as school staff

  1. Open Schedule and choose Create Flight at the top right. You can also click an empty time on the week or day view, or choose Create flight in a day's panel.
  2. In Create Flight Slot, set the Date, Start Time and End Time.
  3. Choose the Aircraft and the Flight Type, and optionally an Instructor (Optional) and a Student (Optional).
  4. Add Notes if you want to.
  5. Wait for the conflict check. If it says Conflict detected, change the time, aircraft or people until it clears.
  6. Choose Create Flight.

If you don't see Create Flight, your role can't place flights directly. Your school may also set a minimum notice for flights, which the form shows.

Students' requests come to staff under Review. Instructors answer them under Requests, and people who approve flights see Approvals.
