When a student asks for a flight, an instructor usually accepts it first. If your school has admin approval on, the accepted request then waits for an approver. Its flight is already held on the schedule, and approving confirms it. School owners, administrators and schedulers approve requests. Dispatchers don't.
Find requests waiting on you
- Open Review in the sidebar.
- Open the Approvals tab. It opens on Needs you.
- Ready to approve lists requests an instructor has accepted. No instructor lists requests that have no instructor yet.
In progress shows requests that wait on someone else, under Waiting on instructor and Waiting on student. Nothing there needs you. History lists requests that were approved, rejected or cancelled.
If admin approval is off, instructor-accepted requests are booked automatically and don't come to you.
Approve a request
- Choose Approve on the request's row. To read it first, open the actions menu on the row and choose View details, then choose Approve & Create Flight Slot.
- Check the student, time, aircraft and instructor in the window that opens.
- Choose Approve & Create Flight. To stop, choose Not yet.
Approving confirms the flight on the schedule and notifies the student and the instructor.
Reject a request
- Open the actions menu on the request's row and choose Reject. You can also choose Reject in Request Details.
- Enter a Reason for Rejection. It is required, and the student is notified.
- Choose Reject Request.
What can stop an approval
- The time has passed. A request whose start time has gone by shows Time passed and can't be approved. Its row offers View instead of Approve. Reject it so the student can ask for a new time. If an instructor already accepted it, its flight is already booked: if the flight took place, check it in or Complete & Log it from the schedule and leave the request as it is.
- The student isn't current. On a solo or rental flight, a window opens before the flight is booked. If your school only warns, tick I understand — book anyway and choose Approve & Create Flight. If your school blocks it, a school owner or admin can still approve by writing a Currency override reason of at least 10 characters. Anyone else sees that only a school owner or admin can override.
- The aircraft has an inspection hold. The window says so. Only a school owner can override it, by writing an Inspection hold override reason of at least 10 characters.
- The aircraft is grounded or in maintenance. The approval is refused. Reject the request, or wait until the aircraft is back in service.
- Something is already booked. If the aircraft, instructor or student is already booked at that time, or the instructor has time off, the approval is refused and Aerial says why. Check the schedule and try again, or reject the request.
